Part-time

Under the direct supervision of the Administrative Associate this position provides administrative and clerical support to managers and employees. The ideal candidate is an ambitious go-getter, not afraid to take initiative to perform a range of administrative and office organization task. In addition to formatting documentation, filing and scheduling, performs duties such as coordination of meetings, obtaining supplies, coordinating direct mailings, and working on special projects. Also, answers correspondence and assembles highly confidential and sensitive information. Deals with a diverse group of important external callers and visitors as well as internal contacts at all levels of the organization. Independent judgment is required to plan, prioritize and organize diversified workload, recommends changes in office practices or procedures.

Ultimately, a successful Administrative Assistant should have excellent oral and written communication skills and be able to organize their work using tools, like MS Office Suite and office equipment to ensure the efficient and smooth day-to-day operation of our office.

RESPONSIBILITIES

  • Provide high-level administrative assistance to multiple managers
  • Format surveys, PowerPoint presentations, Word reports and proposals
  • Assist with preparation of presentations, reports, proposals, and training materials
  • Assist with database management
  • Create tables and graphs
  • Arrange travel schedule and reservations, as needed
  • Schedule and coordinate internal and external meetings
  • Order and maintain inventory of supplies
  • Communicate with vendors
  • Sort and distribute incoming mail
  • Prepare large mailings
  • Answer phones and direct incoming calls
  • Maintain office equipment
  • Assist with special projects, such as event planning and conference preparations
  • Perform a variety of other administrative responsibilities as required

REQUIREMENTS

  • Associate’s degree with three years of administrative work experience
  • Have excellent interpersonal and organizational skills
  • Have advanced Microsoft Word, PowerPoint, Excel and Internet computer skills (certification preferred)
  • Accurate and very detail-oriented
  • Able to work independently and in a team
  • Follow written and oral instructions as needed to complete tasks
  • Interact with clients, co-workers, and vendors in a manner that shows sensitivity, tact, and professionalism
  • Work independently and in a team

  • Receptive to training and supervision

WORK ENVIRONMENT

This job operates in a professional office environment. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

PHYSICAL DEMANDS

This is largely a sedentary role; however, some filing is required. This would require the ability to lift files, open filing cabinets and bend or stand as necessary.

POSITION TYPE and EXPECTED HOURS OF WORK

This is a part-time position. Days of the week are Monday through Friday. Hours vary based on company need and range from four to eight hours per day therefore, averaging a workweek that fluctuates from 20 to 40 hours per week.

COMPENSATION

  • $22.00 to $25.00 per hour
