The role:

You are an enthusiastic and savvy administrative assistant looking an exciting company with people you enjoy learning and growing with. You will add value to Ticketmaster by supporting members of the technology & product leadership team. Your ability to interact with staff (at all levels) in a fast-paced environment, sometimes under pressure, remaining flexible, proactive, resourceful and efficient, with a high level of professionalism and confidentiality is crucial in your role.

What the job is:

  • Heavy calendar management, requiring interaction with both internal and external executives and assistants, often across time zones, to coordinate a variety of complex executive meetings
  • Coordinate and plan travel arrangements (airfare, hotel, & ground transportation), meeting executive needs while staying within budgeted parameters
  • Manage expense reports in a timely fashion, taking accountability for submissions and reimbursements
  • Create and often develop concepts for PowerPoint presentations, with the ability to adapt for different audiences
  • Coordinate and manage all audio-visual needs for company meetings
  • Handle all incoming/outgoing company mail, packages, and deliveries
  • Aid leadership on projects as they arise
  • Code, circulate for approval as needed, and ensure timely remittance of all approved invoices to Accounts Payable
  • Maintain all contract files
  • Help manage coordination of employee-related activities (company meetings, quarterly outings, etc.) with a key focus on the development of culture-building programs
  • Manage the performance review process calendar and execution coordination
  • Help onboard employees across company programs

What a qualified candidate should possess:

  • 3-5+ years related experience
  • Professional level writing, grammar and spelling skills
  • Excellent verbal communication skills and a professional phone etiquette
  • Demonstrated commitment to high levels of quality, with attention to detail
  • Excellent judgement and ability to know what needs to be done, even when not asked
  • Desire to help create a fun and productive culture, leveraging Ticketmaster’s focus on live events
  • Extraordinary team player and ability to thrive in a fast- paced, entrepreneurial environment where quality, innovation, speed of decision making and execution are critical to organizational success
  • Occasional evening email/text check-ins during peak events
  • Skilled with Microsoft suite, including Excel and PowerPoint
