Bulletin #180145; 01/03/19 RECORDS REPRESENTATIVE Administrative Support Assistant II Registrar/ Academic Records Salary Range: $2,600 - $4,458/Monthly Work Schedule: Full-time, Monday – Thursday, 9:00 a.m. to 6:00 p.m., Friday 8:00 a.m.to 5:00 p.m.; non-exempt classification; temporary, expires on or before one year from start date; may be extended; may become permanent. Essential Functions: Under the direct supervision of the Assistant Registrar for Academic Records, the incumbent is responsible for providing quality services to students, staff, faculty, and alumni with the processing of all information reflected on students’ California State University, Los Angeles academic record. The incumbent will implement and explain academic and administrative policies and procedures mandated by the Registrar’s Office, the University, and Title V of the State of California Administrative Code; build matriculation and program plan records; enter data from Permanent Record Card utilizing the on-line student administration system; assist with data entry during semester conversion process; and certify and validate numerous forms. The incumbent reviews and researches grade discrepancy petitions; and provides probation/disqualification status and continuing student status using the Golden Eagle Territory Student Administration. The incumbent processes transcript request (manual and on-line), grade changes, repeated course petitions, credit by examination, course add/drop requests, leave of absence, non-traditional grading, advance placement scores, verification of degree, grade point average (GPA) and enrollment, and retrieval of On-Base documents. Required Qualifications & Experience: Equivalent to two years of general office experience. The incumbent must have intermediate to advanced understanding of Microsoft Office applications; excellent written, oral, and interpersonal skills; basic math skills required to assess GPA and transcript accuracy; must be organized and work well under pressure to service a high volume of students. The incumbent must have the ability to follow written and verbal directions; finish assignments with little supervision; and operate standard office equipment. Demonstrate interest and/or ability to work in a multicultural/multiethnic environment. A background check (including a criminal records check) must be completed satisfactorily before any candidate can be offered a position with the CSU. Desired Qualifications: College-level coursework and work experience in higher education in a customer service related capacity.
