Position Description Registrar

General Responsibilities

The Registrar establishes and maintains the policies and practices of the Office of the Registrar which include close, collegial working relationships with the seminary’s leadership and faculty to help the institution succeed in reaching its enrollment, retention, and graduation goals and to comply with the Association of Theological Schools standards. In addition, the Registrar is responsible for stewarding student data systems. She or he will occasionally attend the meetings of the senior staff. The Office of the Registrar responsibilities include managing registration services according to faculty-approved course schedules, determining residency classification for continuing students, degree auditing, processing grades, transcripts, and certifications for enrollment, and administrating academic components for Commencement. The responsibilities are further described as follows:

Essential Functions

The Registrar
  • Manages the registration process and systems, pertinent website information and disclosures, and Learning Management System (LMS) coordination
    • Keeps curriculum databases up to date
    • Assures system has accurate and current courses
    • Assures online registration process operates smoothly without interruption
    • Assures LMS sites are populated
    • Manages transcripts as needed
    • Produces enrollment reports for management: internal analysis, IPEDS, ATS etc.
    • Responsible for distributing syllabi and reading lists
  • Provides first-level academic advising for all students (deferring to program directors and Provost only as needed)
    • charting paths for incoming students, especially transfer students
    • supplying students and advisors with degree audits
    • registration reminders and guidance for ongoing students
    • tracking the academic status of all students especially those with have research, thesis-writing, and continuation fees (DMin, MTS, STM)
  • Assists the admissions process
    • Determine valid transfer credits to accept for incoming students (deferring to program directors and Provost only as needed)
    • Second-stop (assuming the Admissions Counselor is the first-stop) for answering curricular questions for prospective students
    • Moving the admitted students to enrolled/registered
  • Custodian of the Academic Catalog, implementing the curricular decisions of the Faculty under the direction of the Provost
    • Manage edits and program adjustments
    • Maintain factual and language consistency internal to the document
    • Maintains consistency from Catalog to website
  • Custodian of the Academic Calendar, implementing the curricular decisions of the Faculty under the direction of the Provost
  • Liaison with the faculty meeting for the implementation of curricular decisions
  • Participates in the determination and provision of IPEDS and ATS information for reporting purposes
  • Assures the proper archiving of historical academic information and data

Education and Other Qualifications

  • Bachelor’s degree required (master’s preferred); familiarity with theological curricula is desirable
  • 2-5 years demonstrated experience providing registrar services for an education institution
  • Excellent communication skills and a willingness to collaborate
  • Aptitude with computer technology, including basic software applications and databases

Supervisory Responsibilities

Although the Registrar is not a supervisory role, the Registrar must collaborate successfully with several seminary departments, including especially the Faculty, student accounting, and compliance and reporting.

Travel

The position does not require significant travel, except as required for seminary business or select events or occasions where the presence of senior executives is requested or necessary. XJ6
