Key Performance Areas (Essential Functions of the Position)

Payroll Specialist
  • Review time and attendance data
  • Export time and attendance data to payroll
  • Enter adjustment batch
  • Review payroll pre-register
  • Submit payroll
  • 401K contributions
  • Health Savings contributions
  • Workers compensation reporting
  • Workers compensation audits
  • Census reporting – as assigned
  • Manage unemployment rates
  • Reconcile benefit invoices to payroll
  • Life insurance reporting
  • Reconcile payroll liabilities to the general ledger

  • Cash Management and Accounts Receivable
  • Reconcile cash accounts for multiple entities twice each week and at month end
  • Manage AR collections
  • Collection calls on past due accounts
  • Monitor past due accounts and place on credit hold as necessary
  • Process credit applications
  • Maintain sales tax exemption forms
  • Send AR Aging reports (DTB and Cottonseed)
  • Schedule and maintain AR ACH accounts
  • Post and apply daily deposits, credit cards, ACH and wire transfers
  • Collect NSF checks
  • Process credit cards for accounts set up on automatic processing
  • Track and report AR legal fees

  • Fixed Assets
  • Maintain fixed asset additions and dispositions, monthly
  • Reconcile fixed assets to general ledger

  • Long-Term Debt and Leases:
  • Maintain LTD and lease file
  • Ensure operating lease purchase options are exercised timely
  • Create amortization schedules for new debt as needed

  • General
  • Cross-train designated back-up
  • Documents workflow and work procedures
  • Requirements

  • Three or more years of experience in processing payroll for a company with more than 100 employees.
  • Knowledge of electronic time keeping systems
  • Payroll law knowledge
  • Bilingual helpful
  • Experience with Fixed Asset software
  • Experience with maintaining long-term debt schedules
  • Experience in reconciling cash for multiple entities
  • Experience with monitoring accounts receivable
  • QuickBooks - preferred

  • General Office Environment

    Work is generally sedentary in nature but may require standing and walking for up to 10% of the time. The working environment is generally favorable. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, etc. Work is generally performed within an office environment with standard office equipment available such as computers, phones, photocopies, filing cabinets and fax machines.

    Physical Requirements

    While performing the duties of the job, the employee is regularly required to talk, hear, read, write and communicate in fluent English. The employee is frequently required to stand, walk, use hands to finger, handle or feel, and reach with hands and arms.
